Attending a Grey Green Media event.

Grey Green Media produce three different types of event:

  • Virtual – where the entire event is hosted online.
  • Hybrid – where the event is hosted at a venue and streamed online.
  • In-person – where the event is exclusively hosted at a venue.

There are two main types of ticket:

  • A virtual ticket provides online access to the event.
  • An in-person ticket provides access to the venue and the online content.

There are two sets of terms and conditions, which depend upon the class of ticket purchased.  Please refer to the relevant section in the terms and conditions set out below.

1.INTRODUCTION

1.1 The conference has been organised by Grey Green Media Limited, a company based in London, and registered in England and Wales with registration number 10606123. Our company address is Grey Green Media Ltd, 20 St. Thomas Street, London, United Kingdom, SE1 9RS.

1.2  References to “us” means Grey Green Media Limited and references to “we” and “our” shall be construed accordingly.  Reference to “you” means the entity completing a booking request and references to “your” shall be construed accordingly.

1.3  All applications to register for the conference are made subject to these Terms & Conditions. These Terms and Conditions should be read carefully prior to purchase and any queries relating to them should be raised with us prior to purchase as purchase of Tickets constitutes acceptance of these Terms and Conditions

1.4  You acknowledge and accept that we have the right to publicly announce our business relationship with you which shall include but not be limited to marketing and announcements on social media. Such announcements shall not be disparaging or otherwise adverse to your business.

 

2. BOOKING

2.1 All applications to register for the conference are subject to availability and you make full payment.

2.2  Confirmation (or rejection) of your booking will be sent to you by email within one (1) working day of our receipt of your booking request.  Rejection will only occur where you have not met registration requirements as detailed on the event registration page.

2.3  Delegate passes issued for use at the conference are valid for the named attendee only and, subject to clause 5.3 below, cannot be transferred or shared.

 

3. GROUP BOOKINGS AND OTHER DISCOUNTS

3.1 If you wish to book multiple places at the conference, we offer a discount on group bookings. The conditions for how many people class as a “group booking” are set out on the event website’s registration page, and the discount code can be obtained from us upon email request, or by filling out the request form online, where a member of our team will respond to you within one (1) working day. This code cannot be used in conjunction with other discount codes.

3.2. If someone from your company is an advertised speaker at the conference, you are entitled to 10% off the ticket price displayed on the event website’s registration page at the time you register. The code can be obtained by contacting us directly or filling out the request form online, where a member of the team will respond to you within one (1) working day. This code cannot be used in conjunction with other discount codes.

3.3  If we receive a registration request where a discount code has been incorrectly applied, the booking will not be confirmed until the correct payment has been received.

 

4. PRICES AND PAYMENT

4.1 Our prices for attending the conference are set out on the relevant registration page from our website, or can be obtained from us upon request. Prices may be subject to change from time to time, and we reserve the right to do so.  We will not increase the price of your ticket once your booking has been confirmed.

4.2 Payment must be received prior to the start of the conference.  Your pass to enter the virtual event space will not be activated until payment has been received.

 

 5. CHANGES TO THE CONFERENCE AND CANCELLATIONS

5.1 This booking is for a virtual conference and provides access to the live conference, as well as pre and post-access to the conference space.  Once your booking has been confirmed you may not cancel (subject to clause 5.2 below).  This is because you can access the conference and post-event presentations for 6 months following the event.

5.2  In the unlikely event that you are not able to attend the event or access the post-event recording, we will permit a cancellation subject to a 20% cancellation fee.   You should advise us that you wish to cancel in writing.  Cancellation within 3 weeks of the start of the event will not be refunded.

5.3  As an alternative to clause 5.2 above, you may request that your ticket is reallocated to a nominated substitute in which case no cancellation charges will apply.

5.4 It may be necessary for reasons beyond the control of Grey Green Media to alter the content and timing of the program.

5.5 If for any reason Grey Green Media decides to make material changes to this conference, we are not responsible for costs incurred by registrants.

5.6 In the event that we cancel the event, we reserve the right to transfer this booking to another conference to be held in the following twelve months, or to provide a credit of an equivalent amount to another conference within the same sector within the following twelve months. Should we fail for any reason to organize or identify an alternative event in these circumstances your fee will be refunded in full.

5.7 Should for any reason outside of our control, the date or speakers change, or the event be cancelled due to an act of terrorism, extreme weather conditions, government restrictions, epidemic, pandemic or industrial action, we shall endeavor to re-schedule but the client hereby indemnifies and holds us harmless from and against any and all costs, damages and expenses, including legal fees, which are incurred by the client.

 

6. ACCESS

6.1 The virtual event venue will open no later than 2 weeks before the event.  You will be provided with the address of the virtual venue as well as a passcode. Once opened, you may complete your unique account, profile, and login in preparation for the event.

6.2 You hereby agree not to share or distribute your access codes or information to any third party.

6.3 The content of the event remains the property of Grey Green Media and may not be published without prior permission.

6.4  The virtual registration desk will be open throughout the event.  If you have any issues with joining the event, you should contact the registration desk immediately.

6.5 We are not responsible for the correct functioning of any equipment you are using to access the conference.

 

7. CODE OF CONDUCT DURING THE VIRTUAL EVENT AND CONNECTION REQUESTS

7.1  The conference is a safe place for all participants to learn, discuss, and network. All delegates shall treat all others with respect irrespective of but not limited to; Disability, Gender, Gender identity, Race, Religion, or Sexuality. Any breach of this clause will be swiftly investigated and where appropriate your access may be denied.

7.2  By entering your information into the virtual conference platform you agree for these details to be made public to all other attendees.   You may request to connect with an attendee and they can request to connect with you.  You are not required to agree to a connection, and your contact details will not be shared until you have agreed to a connection.

 

8.  TRANSFER OF TICKET

8.1  Should you wish to upgrade to an in-person ticket, this may be possible, subject to availability.   An additional charge will be incurred.

 

9.  PERSONAL DETAILS

9.1  Your name and contact information will be made available to our commercial partners. (Listed as ‘Partners’ on the event website).

9.2  Sponsors are not permitted to pass your information onto any other party.

9.3  If you do not wish to allow your details to be passed onto our sponsors, please contact alison@greygreenmedia.com and we will ensure you are removed from any list.

 

10. JURISDICTION

10.1 The construction, validity, and performance of this agreement shall be governed in all respects by the laws of England to the exclusive jurisdiction of whose Courts the Parties hereby agree to submit.

4.2 Payment must be received prior to the start of the conference. If for any reason we have not received payment in full by the date of the conference, we reserve the right to cancel your registration or refuse entry.

 

 5. CHANGES TO THE CONFERENCE AND CANCELLATIONS

5.1 This booking may only be cancelled by notifying Grey Green Media. All cancellations must be confirmed in writing no later than three weeks before the event.

5.2 A cancellation fee of 50% will apply. No refunds will be made for cancellations in the three weeks prior to the event.

5.3  As an alternative to clause 5.2 above, a  substitute delegate may be sent, in which case no cancellation charges will apply.

5.4 It may be necessary for reasons beyond the control of Grey Green Media to alter the content and timing of the program or the location of the event.

5.5 If for any reason Grey Green Media decides to make material changes to this conference, we are not responsible for covering airfare, hotel, or other costs incurred by registrants.

5.6 In the event that Grey Green Media cancel the event, Grey Green Media reserve the right to transfer this booking to another conference to be held in the following twelve months, or to provide a credit of an equivalent amount to another conference within the same sector within the following twelve months. Should Grey Green Media fail for any reason to organize or identify an alternative event in these circumstances your fee will be refunded in full.

5.7 Should for any reason outside the control of Grey Green Media, the venue or speakers change, or the event be cancelled due to an act of terrorism, extreme weather conditions, government restrictions, epidemic or industrial action, Grey Green Media shall endeavor to re-schedule but the client hereby indemnifies and holds Grey Green Media harmless from and against any and all costs, damages and expenses, including legal fees, which are incurred by the client.

5.8 You may wish to change your ticket from in-person to virtual-only.   We would be happy to arrange this for you.  However, please note that we will have incurred costs in booking a place for you at the venue.  Therefore, a credit note priced at the value of the difference between tickets will be provided for this change. This credit can be applied towards another conference within the same sector within the following twelve months.

 

6. HEALTH AND SAFETY

6.1 Delegates must comply with all relevant statutes, safety announcements, and Venue regulations whilst attending the Event.

6.2 If you have any special dietary requirements, prior notice should be given before the event and we will do our very best to ensure you are well catered for.

 

7. LIABILITY

7.1  We are not responsible for any loss, theft, or damage of your personal belongings, other than caused as a result of our negligence or other breaches of statutory duty.

 

8.  CHANGE OF TYPE OF EVENT

8.1  National or local regulations may require us to close a venue.   If this happens we will run the event virtually.   You will be issued with a virtual pass for the event.

8.2  The difference between the in-person and virtual ticket price will be refunded to you.   If the event is running, but you wish to change your ticket type, please refer to clause 5.8

8.3  If an event is moved to a virtual platform, your booking remains subject to the conditions detailed in section 5 of this agreement.

 

9. PERSONAL DETAILS

9.1  Your name and contact information will be made available to our commercial partners. (Listed as ‘Partners’ on the event website).

9.2  Sponsors are not permitted to pass your information onto any other party.

9.3  If you do not wish to allow your details to be passed onto our sponsors, please contact alison@greygreenmedia.com and we will ensure you are removed from any list.

 

10. JURISDICTION

11. COVID-19

11.1  We work with venues to ensure that all areas are covid secure.  This may include regular wiping of surfaces, social distancing, and the provision of hand sanitizer.

11.2  If you have any symptoms that could be Covid-19, such as loss of taste or smell, persistent cough, high temperature, we respectfully request that you do not attend the event.   In this instance, we will convert your ticket to a virtual ticket and refund the difference in price back to you.

11.3  You hereby agree that we cannot be held responsible for any covid infection you may contract during or following this event.
